Job Title:                    PBX OPERATOR

Department:               Lodging

Reports To:                Front Office Manager

Rate of Pay:                $10.00 per hour, DOE + guest package commissions

Commission Rate:      PBX processes a shipping and handling fee depending on the weight. If it is less than 20 lb, $5.00 per box. 20-40 lbs, $10. 40-60 lbs, $15, 60-80 lbs, $20. 80-100 lbs, $25.  Commissions are then split amongst the team dependent on the amount of hours worked.

Shift:                           Variable days from Monday through Sunday

                                    Shifts will vary, 8:00am 10:00pm. Closing times vary depending on season.

                                    Must be available Weekends & Holidays

                                    Part-Time, Year-Round Position

     

 

SUMMARY  

The PBX Operator is highly productive and knowledgeable about the resort and works cohesively to create a quality experience for our resort guests and employees.  Main responsibilities include answering and directing incoming phone calls; and sorting/distributing mail to appropriate departmental mailboxes; receiving and logging of all packages from UPS, FedEx and other shipping companies; and distributing them to the appropriate department or person.  Agents are also responsible for paging employees when needed, communications in case of emergency, and sending out the daily newsletter of resort information and activity pages.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as needed.

Multi-tasks efficiently and accurately with a pleasant telephone voice and friendly, professional demeanor.

Operates telephone switchboard, including voice mail, dialing codes, wake up calls etc.

Resolves guest complaints and/or service inquiries, uses GuestWare to log maintenance and housekeeping requests and dispatches to the appropriate departments for correction.

Coordinates the PBX Operator for arriving groups and fulfills all group shipping and delivery needs.

Works directly with Safety for checking in and out property keys and department radios, maintaining the resort text program for employees to share information regarding events and emergencies, fieldsresort emergency calls (i.e. fire calls, medical emergencies, etc.) and facilitates accurate and efficient communication with appropriate parties.

Coordinates the making and distribution of resort documents including the Sundance Daily, resort activity sheet and resort phone directory.

Sorts incoming mail and distributes them to the proper department mail boxes.

Posts outgoing mail with resort postage machine, including replacing tapes and collecting money for postage meter.

Receives and record receipt of FedEx and UPS packages and the signing out of packages to receiving departments.

Records receipt of pickup/charge slips and all outbound shipping.

Helps departments and guests with outgoing FedEx and UPS packages (including packaging them neatly and safely), weigh, enter in book, and charge appropriately following accounting procedures.

Exhibits exceptional Sundance knowledge and ability to effectively communicate to staff and guests.

Obtains and proactively maintains an inclusive knowledge of all resort amenities, activities and programming.

Thrives in a fast pace or leisure working environment and effectively manages multiple tasks and competing deadlines.

Keeps Sundance business and guest information confidential.

Speaks English fluently and clearly. 

Assists Front Office Manager and Lead PBX Operator with additional duties and responsibilities as assigned.

DRESS CODE

Sundance recognizes the impact that our image has on the guest's impression of the resort and the perception of our ability to provide professional service to our clientele. In order to best promote a positive, professional image that meets Sundance guest's expectations, employees are required to dress in a professional, conservative fashion that is appropriate for their area. Additional guidelines will be provided at time of hiring. Please use the following as a minimum standard:

 

All aspects of the Personal Appearance policy (SPL#50) must be in compliance.

  • PBX Operators are required to wear nametags at all times while on duty.
  • Clothing must be unwrinkled and clean, and in good condition (no rips, tears, or frays regardless of whether accidental or fashionably placed).
  • Blue jeans are permitted
  • Appropriate skirt length is from the knee to the ankle.
  • Tank tops, halter tops, tube tops and spaghetti straps are prohibited.
  • Sleeveless shirts are permitted for females.
  • Bare midriffs are prohibited.
  • Shorts are not permitted.
  • Dress sandals are permitted for females.
  • Flip flops are prohibited in all areas.
  • Tennis shoes are acceptable if in good condition.

 

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

 

TECHNICAL/COMPUTER SKILLS

Good working knowledge of word processing and spreadsheets.  SMS knowledge helpful.  Proficient in internet navigation and electronic mail. Proficient in operating radio for communication with staff.

 

LANGUAGE SKILLS

The incumbent must possess the ability to speak and read English fluently.  Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively to guests via telephone and in-person or employees of organization

 

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
